This privacy policy aims to define the collection, use and disclosure of this information, in accordance with the Act to modernize legislative provisions as regards the protection of personal information (Law 25) in Quebec, as well as local regulations applicable to our markets.

The personal information of clients, employees and job applicants is treated confidentially by Can-Ex Technologies. We collect, retain and use only the information necessary for the sole purpose of providing the products and services required by clients and managing the needs of our employees and job applicants.

PROTECTION OF INFORMATION

Physical, administrative and technical protection measures are implemented to ensure the confidentiality and security of your data, protecting it against any unauthorized access. The personal information we collect is stored in a secure environment. Our employees strictly respect the confidentiality of your information. We are committed to maintaining a high level of confidentiality by integrating the latest technological innovations to secure our activities.

In order to ensure the security of your personal information, we use, among others, the following measures:

  • SSL (Secure Sockets Layer) Protocol
  • Access management with specific authorizations
  • Network monitoring software
  • Use of secure usernames and passwords
  • Firewalls to strengthen security

Consent

By providing us with your personal information, you consent to its collection, use and disclosure in accordance with this policy. Your consent must be clear, free and informed, in accordance with the requirements of applicable laws. We are committed to obtaining your consent separately for each processing purpose when required. You may withdraw your consent at any time by contacting us using the contact information indicated at the end of this policy.

These marketing analytics and profiling scripts are blocked by default for Canadian and Quebec residents and are activated only following explicit consent through our cookie management platform. For our international visitors (including those from the United States), these tools are activated in accordance with applicable local regulations, and users have the right to opt out through the consent management icon located at the bottom left of our website.

Collection and Retention Periods of Personal Information

We collect various types of personal information, such as your contact information (name, address, email address, telephone number), identification and background verification data (copy of passport, driver’s licence), information provided by our clients or on their behalf, billing-related information (billing address, banking information, payment data), communication and marketing preferences, information related to the use of our website (statistical data, cookies, etc.), recruitment-related information (résumé, professional and academic background), historical information (former employers, job titles), as well as any other personal information you provide to us.

The information mentioned above is collected through online forms completed on our website, through email communications, through our appointment scheduling platform (Microsoft Bookings), or through our webinar management platform (Microsoft Teams). Subsequently, this information may be entered into our secure-access databases.

Clients

We collect various types of personal information, such as your contact information (name, address, email address, telephone number), information provided by our clients or on their behalf, billing-related information (billing address, banking information, payment data), communication and marketing preferences, information related to the use of our website (statistical data, cookies, etc.), as well as recruitment-related information (résumé, professional and academic background).

Personal information is retained only for the period necessary to fulfill the purposes for which it was collected:

  • Clients and Business Data: We retain our clients’ contact information, billing-related information, as well as the technical data associated with their projects. The retention period for this information is limited to the duration of our business relationship, plus a period of seven (7) years following the completion of the last project or the relevant fiscal year. This period enables us to comply with our legal tax obligations and ensure the historical and progressive tracking required for infrastructure asset management.
  • Browsing Data (Marketing): Personal information collected from prospects is retained for a maximum period of three (3) years from our last active contact with them (such as opening an email, interacting with our website, or submitting an information request), unless they request its deletion or withdrawal before that period expires.

Job Applicants and Personnel:

We retain the personal information of our job applicants for a maximum period of two (2) years in order to contact them regarding potential opportunities matching their profile. Personal information relating to our employees is retained separately and is subject to a distinct internal governance policy, in accordance with the legal retention schedules in force in Quebec (labour standards, taxation, occupational health and safety).

 

Analytics, B2B Identification and Statistics Tools

We use analytics and identification tools on our websites to collect, measure and present data regarding visits made through our technology providers, including Google’s analytics and advertising services, the Microsoft 365 suite, HubSpot and RB2B. The objective is to better understand how our platforms are used and to optimize our business development efforts.

Depending on the geographic region and applicable local laws, these tools record, among other things:

  • The number of visitors and the pages viewed.
  • Technology information and referring websites.
  • For professional visitors (particularly those from the United States), business identification data enabling the anonymous visit to be associated with a corporate entity or a public professional profile (e.g., LinkedIn).

Conversational Assistant (Artificial Intelligence)

As part of our activities, some of our websites integrate conversational assistants powered by artificial intelligence, tools that may also be deployed on our other platforms in the future. These tools are designed to help you identify the appropriate services, answer general questions about our products, and schedule an appointment.

  • Transparency and Automated Processing: If you interact with these assistants, you are informed that your exchanges are processed by an automated system. This tool uses an algorithm to analyze your responses, assess your technical needs, and direct you to the appropriate resource or service.
  • Information That May Be Collected: The assistant may collect your contact information (name, address, email address, telephone number), your postal code, as well as a description of your situation. This information is processed solely for the purpose of responding to your direct service requests.
  • Your Rights Regarding the Assistant: You have the right to request information about the logical parameters that led to an automated recommendation. You may also require that a natural person review any automated decision that would have a significant impact on you. You may stop using the assistant at any time and contact us directly by telephone or email to obtain human support.
  • Limitations of Conversational Assistants: These tools do not retain any information from one session to another, cannot independently create a permanent submission or contract, and never provide a definitive engineering diagnosis.

Disclosure to Third Parties and Transfers Outside Quebec

We do not sell, trade, or transfer your personally identifiable information to third parties, except for trusted third parties who assist us in operating our website or conducting our business, provided that such parties agree to keep this information confidential.

Some of your personal information is processed or stored outside Quebec and/or Canada, notably through our technology providers (Google analytics and advertising services such as Google Analytics and Google Ads, the Microsoft 365 suite, HubSpot, and RB2B). For each technological tool involving the transfer of personal information outside Quebec territory, we systematically conduct a Privacy Impact Assessment (PIA) prior to its deployment in order to ensure that the level of protection offered is equivalent to that provided under Quebec legislation.

Privacy Incidents

In the event of a privacy incident involving your personal information that presents a serious risk of harm, we undertake to notify you as soon as possible, in accordance with the requirements of applicable laws. We maintain a register of all privacy incidents and notify the Commission d’accès à l’information du Québec when required by law.

User Rights and Withdrawal of Consent

You may unsubscribe from our marketing email communications at any time by using the unsubscribe link included at the bottom of each message. Likewise, you may modify your cookie preferences by clicking on the icon of our consent management platform located at the bottom left of our website.

In accordance with legal requirements, you benefit from the following rights:

  • Access and Rectification: Review the personal information we hold about you and request that it be corrected if it is inaccurate, incomplete, or ambiguous.
  • Right to Erasure (Right to be Forgotten): Request the deletion of your personal information when its retention is no longer necessary, or require the de-indexing of any link associated with your name that provides access to such information.
  • Portability: Request to receive your personal information in a structured and commonly used technological format, or request that it be transmitted to a designated third party.
  • Review of an Automated Decision: Request information regarding the parameters that led to a decision made by an automated system (including our conversational assistant) and request a human review if that decision has a significant impact on you.
